About the role

As the Facilities Administrator at Accolade Wines, you will be the first point of contact to all staff and visitors arriving on site creating the correct welcome which reflects our company's commitments and behaviours. You will manage the day to day running of reception and the key facilities, all office services to employees and visitors. You will work closely with the Office Manager on daily basis ensuring that we are keeping within the office budget.


You will be a motivated, proactive professional with an ability to communicate with all levels in a clear and polite manner and provide clear instruction as required.


You will have excellent customer service with the ability to remain calm and professional during periods of high pressure and conflict. You will have previous office experience and previous budget management experience is preferred. You will be proactive with a natural talent to prioritising whilst working cohesively as part of a team.

Key responsibilities include:

  • Ensuring the reception operates in a professional manner within the agreed operating hours.
  • Receiving, logging and announcing all incoming visitors to the site.
  • Supporting with any potential office moves which could include the closure of the current office and the opening of a new office that will be located within a 10 mile radius of our current location.
  • Ensuring all general operational matters in connection with the office building and surroundings are functioning efficiently and cost-effective, ensuring up-keep as appropriate; (gardener, cleaner, security).
  • Assisting with small maintenance duties, for example the allocation of lockers.
  • Raising requisitions and processing of facilities invoices/purchase orders
  • Ensuring that all office equipment (with the exception of computer equipment) is maintained and repaired as appropriate.
  • Purchasing all general fixtures & fittings and office equipment & supplies.
  • Ensuring the cleanliness of the office building by management of the office cleaners and to be responsible for housekeeping matters; incl, tea, coffee, milk ordering for the office
  • Overseeing the facilities budget for the office manager and to ensure expenditure for the building is within budget.
  • Assisting with the receipt of stationery orders and deliveries of boxes of paper and to distribute as appropriate.
  • Organising couriers & OHL shipments as and when required
  • Ensuring any accident or incident is logged timely and correctly.
  • Ensuring back-up to key activities is flagged to Manager and where possible organised to cover holidays, sick days and out of office.

What you'll bring:

  • At least 5 years office experience
  • Intermediate Microsoft Office skills
  • Health & Safety
  • First Aid trained preferred.
  • Fire Warden trained preferred.
  • Previous budget management experience is preferred.


Please note that a moderate level of physical exertion may be required to assist with day-to-day requirements for example lifting.
