Role Details

This is a casual position required for 2 days a week.

The IT Administration Assistant provides general administration, telephony & billing processing and procurement / asset management activities for the IT department. 

 

Your Key Accountabilities

Administration
• Ordering stationery for the IT department
• Work with the IT Administration Manager for meeting and event coordination for the IT department when required
• Assist the IT Administration Manager with contracts administration activities
• Close out paperwork / analysis for Capital Expenditure admin requirements for IT assets and projects
• Coverage to answer service desk phone calls and logging of details into the LanDesk Service Desk system for action by the Service Desk team as requested during busy periods / meetings coverage.
• General and other ad-hoc administration tasks as required


Telephony & Billing / Procurement / Asset Management
• General telephone enquiries, including running monthly expenditure reports from Billview Telephony Management System to be sent to Managers, ad hoc user / IT management requests and maintaining & circulating the telecommunications spend management spreadsheet monthly.
• General telephony management (mobiles) tasks including porting services in and out of the business, organisation of new phone numbers / devices for staff new to the organisation, cancellation of services and any other general telephony administration.
• Process the billing for landline, network and mobile phone services (AU and UK) including liaison with external telco providers on billing discrepancies, raising of Purchase Orders in JDE for invoice payment.
• Procure and maintain stock of telephony equipment using telcotech funds / preferred suppliers whilst adhering to the Accolade Wines procurement policies.
• Process IT invoices and raise Purchase Orders
• Maintain and record all Global IT assets in the Asset Management System including asset adds, moves, changes, disposals, end point equipment repairs (and associated paperwork / activities)
• Provide relevant management reporting on IT assets on a quarterly basis and as requested to both IT management and Fixed Asset Accountant.
• Chase up assets for return when required on a weekly basis for terminated employees

• Experience in working in an office environment
