Role Details

Reporting to the New Zealand Viticulturist, this role has no direct reports.

In this role you will be administering all grower payments (pricing letters, pre-harvest deposits, buyer created invoices, grower payment summaries, paying NZW Grape Levies) and maintaining the grower payments spreadsheet.  You will maintain the Sold Fruit register and ensure buyers are invoiced as well as maintaining the Grower contracts in AS400 and Sharepoint.  You will also be required to set up suppliers.

During harvest you will communicate sampling data to growers and VMs, communicate tonnes harvested to growers and VMs, enter tonnes harvested into AS400 and Grower Payment Spreadsheet, communicate sampling days/times to growers and VMs, collect samples from Growers and deliver to winery, and carry out harvest sampling at the Woolshed Vineyard as required.

You will also support the NZ Viticulturist and Vineyard Managers with administration work.

The successful candidate must have the flexibility to change work days from time to time to accommodate the dure dates of Grower Payments, as well as be able to extend work hours beyond 20 hours / week during harvest.

Your Key Accountabilities

•    Act as the NZ ‘superuser’ for nominated HSE & Quality software programs and tools – working knowledge ChemAlert, EQMS, SolveSafety, systems to support programmeable events.
•    Gather and validate data inputs and content for monthly HSE internal governance reports – monthly reporting to HSE lead.
•    Assist with monitoring of HSE and IM objectives, targets and performance metrics – SolveSafety reporting and ensuring that hazard investigation forms are completed on time etc.
•    Assist with coordinating audit activities in HSE and monitoring of issue resolution and corrective action – audits. Audit actions, workplace inspections etc.
•    Assist in the development, review and communication of HSE related policy, standards, procedures and associated documentation – ensure it's visible in the workplace and updates emailed out etc.
•    Assist in the maintenance of broader HSE strategic initiatives and programs including sustainability projects – anything else required with HSE (eg stop for safety days coordination).
 

Other Accountabilities Include

•    Administering Solv Safety, and internal Audits.
•    Administer contractors’ insurance docs etc and notify VMs when they require updating, or follow up with contractors themselves.
•    Monitor Grower GSAs and notify NZ Vit when they are due for renewal.
•    Be a point of contact for Growers when NZ Vit is not available.
•    Administer hi-viz clothing orders (when it arrives in NZ).

Essential Qualifications

A minimum of 2 years’ experience in an administration role
Data entry skills
Working with ChemAlert, EQMS and SolveSafety systems is preferred
Some understanding of HSE principles would be advantageous
